Cadence Services

Virtual Management

Professional management. Roughly 40% less cost.

The same Cadence team, the same software, and the same financial discipline our full-service communities receive — delivered without an on-site presence, at up to 40% below the cost of full-service management.

Board outcomes

Nothing about the financial side gets thinner. The cost does.

The savings are not a discount. Virtual Management removes the on-site line item your board is already covering and keeps everything else intact — the same accountants, the same Vantaca platform, and the same monthly discipline behind our full-service portfolio.

  • The financials are the whole point

Statements close monthly, reporting is real-time in the owner portal, and your board sees the same numbers we do.

  • You still get a real person

A named manager and accountant know your community, our office answers the phone, and after-hours emergencies reach a US-based person.

  • Never locked in

Communities move between Virtual and Full-Service in either direction with a contract amendment, not a transition.

Service scope

The hard part, done right.

Cadence handles the accounting, collections, compliance, and owner support while your board keeps the on-the-ground work it already does well.

  1. Full-charge accounting

The complete financial cycle handled by the Cadence accounting team.

    • General ledger, accounts payable, bank reconciliations, and monthly financial statements
    • Annual budget preparation, reserve funding analysis, and 1099, audit, and tax coordination with your CPA
  2. Assessments and collections

Billing that runs on schedule, with delinquencies tracked and escalated correctly.

    • Assessment billing, payment processing, and owner ACH enrollment
    • Delinquency tracking, late notices, and coordination with association counsel on collections
  3. Compliance and records

Florida statutory requirements handled the same way as our full-service communities.

    • Meeting notices, mailings, and statutory noticing requirements
    • Violation letters at the board's direction, records retention, official records requests, and vendor W-9 and insurance tracking
  4. Owner support and documents

Your homeowners call Cadence — not a board member's cell phone.

    • Homeowner calls, emails, and support requests answered by our office
    • Owner portal, online payments, estoppel certificates, and resale document processing

Virtual vs. Full-Service at a glance

How the work moves

Moving to Virtual Management is a decision, not a disruption.

  1. 01

    Send your numbers

Share your current management agreement and last budget, and we will show you line by line what Virtual Management would cost your community.

  2. 02

    Review the side-by-side

Your board receives an itemized comparison of what Cadence handles, what the board keeps, and the exact fee — before you decide anything.

  3. 03

    Switch without re-onboarding

The same platform runs both models, so moving to Virtual — or later to Full-Service — happens without changing systems or migrating owner data.

Frequently Asked Questions

Virtual Management questions, answered.

Straight answers about the savings, the service standard, and how the model works day to day.

How much will we actually save?

Most communities moving from full-service to Virtual Management see savings of up to 40%. The exact figure depends on unit count and which services you keep. We will put an itemized side-by-side in front of your board before you decide anything.

Does a lower fee mean lower-quality work?

No. The accounting, collections, and compliance work is performed by the same team, to the same standard, on the same software. What changes is on-site presence — which your board is covering.

Who do our homeowners call?

Us. Owner support stays with Cadence under both models. One of the fastest ways to burn out a volunteer board is to route homeowner complaints to a board member's personal phone, and we do not do that.

Can we add on-site services when we need them?

Yes. Meeting attendance, inspections, and project oversight are available a la carte. Some communities use Virtual Management year-round and add on-site support only during budget season or a major project.

Are we locked into this model?

No. If the community grows or the board's capacity changes, you can move to Full-Service without changing systems, re-onboarding owners, or migrating data.

Does Virtual Management still keep us compliant with Florida law?

Yes. Noticing, records retention, financial reporting, and statutory filing requirements under Chapters 718, 719, and 720 are handled the same way they are for our full-service communities.

What areas do you serve?

Tampa Bay and the surrounding Gulf Coast — and, because this model does not depend on drive time, fully virtual engagements are available to associations across the entire State of Florida.
